Sumpter Parent Teacher Club Notes

Hi Sumpter Community,

We had a pretty exciting meeting this week. After your help with raising funds this year, it was approved to purchase and install a new playground structure! We are very excited to be adding this piece along with 2 other pieces that the district will be installing in the bark chip area over the Summer. The Students will have a wonderful surprise to play on when they return to school! Thank you so much for your contributions that have helped make this possible!

We have a final total on what was raised at our offsite auction. We raised $11,959.35!!! This is fantastic! Again, thank you so much to all of those who helped put this on and all of you who attended and donated to this event.

Next month at our PTC meeting we will be taking nominations for PTC board members. Anyone that would like to run for:

President

Vice President

Treasurer

Secretary

Please come to our May meeting, May 10th at 5pm in the media room to put your name in for nomination.

Attendance:

2. Approval of March Meeting Minutes

Alicia Matson motioned to approve. Motion passed.

 

3. Treasurer's Report

            Each year, PTC spends between $30k-35k.  This year we have made $38,689 and should end the month with $48k.  After Sock-Hop, we should be at about $56k for the year. We plan to pre-fund  next year’s expenses by leaving about 36k for next year. (Most of the year’s expenses happen at the beginning of the year and many of our fundraisers happen at the end of the year.) This leaves about 20k surplus.

           

            Playground presentation

            Guest Paula Phelps with Salem/Keizer safety and security came to speak to us about our options in working with the district to install playground equipment. The district is providing 2 new pieces to replace the current items in the bark chips and ptc proposes to add a large climbing wall/slide to the playground.  If we partner with the school district and have the pieces shipped and installed at the same time, then we would save on shipping and installation costs, as well as receive a 15% discount on the piece.

 

Estimated cost to purchase in install the new piece is $20k-$23k.  There was a discussion for how to cover this cost.  One of the ways discussed is that instead of classrooms receiving $500 per class next year, they go back to receiving $300 as in previous years—if extra money is needed.  After much discussion PTC took a vote.

 

Playground will be installed this summer.

 

4. Fund Requests

            Playground funds

            Rene Tyson motioned to approve up to $23k for the purchase and installation of the new climbing wall/slide.  Jenny Hannant seconded.  Motion passed.

 

5. Updates

            Offsite Auction

            Big success!!  Thank you EVERYONE for helping!  Net proceeds from Auction are: $11,959.35.

Look for year book order form. Price $10 pre-order.  Limited amount will be available for $15 if you do not pre-order. You must turn in order form by May 5th.  Please continue to send in photos no later than May 5th.

 

6. Upcoming Events

           

            Teacher Appreciation Week(May 2-6)

            Look for sign-up genius (via email) to help with meals, etc.

 

            Spring FUNraiser(May 13)

            Sock-Hop 50’s theme!  Music will alternate between 50’s and current. Look for flyers with auction items.  Look for sign-up genius to help with different parts of the event.  This year dining will be easier.  Many more tables will be set up.

 

Please contribute to classroom baskets!  They will be picked up and wrapped in 3 weeks.

Basket wrapping party!  May 4th, 5th 6th from 9:30-noon.  Email parent club if you plan to come, or just show up!

 

 

            Discussion about fundraisers in general:

            Jane Morris (PE) spoke about how the Jump Rope for Heart campaign was fun for the students but that she didn’t want to distract from Sumpter’s fundraising efforts for our own community.  So there was some discussion as to whether or not to participate in Outside fundraisers such as American Heart Association, etc in the future.

 

Sumpter parent club has raised money for really great things at our school!  The chrome books are used daily, the garden project was a success, field trips were provided for, and much more!

 

In general, Sumpter trys to keep our fundraisers to 3 major ones/year.  The major ones are: Sock-hop, jog-a-thon and Outside Auction. This year, other fundraising efforts included wreath/candle sales for 5th grade outdoor school, box tops, plus a couple more.

 

7. Needs:

Rene Tyson and Casey Mendez are forming a committee for the purpose of raising $250,000 to build a new cafeteria/gym/multi-purpose room for our school. If you are interested in brainstorming and/or implementing fundraising activities for this new facility please send an email to: renetyson@gmail.com

           

8. School Report

552 students.  Some moved away but we have added 70 since December. 4th & 5th grade classrooms have 31-34 students. 1st grade has 30.  At 560 students, Principal will request another teacher for next year.

 

                9. Other Business

            Next month bring nominations for officer positions for next year.  Vote and installation of new officers will happen at June’s meeting.

 

Rene Tyson requested that next meeting there be a discussion of the cost of PTC maintaining & running it’s own finances instead of going through the school district for reimbursements and depositing monies raised.
